This Privacy Policy explains what personal information Encore collects, why it is collected, and how it is used and protected.

Encore is a platform for preserving and sharing memories from concerts, festivals, and other live music experiences.
This policy applies when you visit Encore, create an account, publish content, join a Crew, interact with Artists, Events or other members, use your Library, or otherwise use the platform.
Project Encore is operated by Filip HEYLEN. For the purposes of applicable data protection law, Filip HEYLEN is the data controller responsible for the personal information processed through Encore.

An email address and password are required to create and authenticate an Encore account. Encore also creates account identifiers needed to operate the service.
A display name is required for your Encore profile. Encore automatically generates an internal username used for profile routing. Your biography, profile image, and profile banner are optional.
We collect the profile information you choose to provide, such as your display name, biography, profile image, profile banner, and other information used to personalise your profile.
We collect content and information you submit or generate through Encore, including Stories, drafts, Artist information, Event information, Crew details, invitations, memberships, follows, Encores, notifications, moderation information, and other community interactions.
Encore maintains shared canonical Artist and Event records so that Stories contributed by different Writers and Crews can connect to the same live music archive.
This may include Artist names, aliases, biography information, images, website information, Event names, venues, locations, dates, and relationships between Stories, Artists, and Events.
Shared Artist and Event information currently comes from information contributed by Encore members and information added or maintained by the Project Encore operator based on personal knowledge. Encore does not currently import Artist or Event information automatically from third-party APIs or external music databases.
Some Artist information may relate to an identifiable individual and may therefore be personal information under applicable data protection law. Encore uses and maintains that information as part of its live music archive and public discovery features.
When you use My Library, we may store private Read Later bookmarks, your Encored Story relationships, Collection names, Collection membership, and other information needed to organise and display your private Library.
Library information is associated with your account so that Encore can provide your Library across signed-in sessions. Saving or collecting a Story does not change the Story's visibility or give you access to content you are otherwise not authorised to read.
Encore may store a relationship between your profile and an Event when you use I was there or when you publish a Story about that Event. Publishing a Story is treated as an indication that the Writer attended the Event. This allows Encore to remember attendance, show your own attendance history, calculate your Events attended total, and calculate aggregate attendance counts for Events.
Event pages may display an aggregate number of Encore members who marked an Event as attended. They do not display a public list of attendee identities. Your public profile may show your total number of Events attended, while your detailed attendance history is intended to be visible only to you.
If you contact us, request support, provide feedback, or report an issue, we may collect your contact details and the contents of your communication.
We may collect limited technical and usage information needed to operate, secure, measure, monitor, and improve the platform. This may include your IP address, browser type, device type, operating system, access times, referring pages, diagnostic, error or security logs, and information used to prevent duplicate Story Read counts.
Published Stories display aggregate Read counts. To count the same reader at most once per Story per day, signed-in readers are recognised using their Encore account identifier. Signed-out readers may be recognised using a random first-party reader identifier stored in the browser after Story Read measurement has been allowed.
The signed-out reader identifier is not a name, email address, or Encore account ID and is not used to create a public list of readers. More information is available in the Cookie Policy.

Encore is designed around sharing and preserving live music memories. Information you publish may therefore be visible to other members or to visitors who do not have an account.
Publicly visible information may include:
Encore also stores an automatically generated, immutable username for internal profile routing. This username is not intended to be displayed as your public identity.
Draft Stories are not intended to be publicly visible. However, content may become public when you choose to publish it or when it is published through an authorised Crew workflow.
Your account email address is not displayed as part of your public profile unless you deliberately publish it within your own content.
Some information is intentionally restricted rather than public. This includes your private Read Later bookmarks, your complete Encored Story collection, Collection names and contents, detailed Event attendance history, detailed follower and following lists, and notifications.
A Story Writer may privately view which signed-in profiles gave an Encore to that Writer's own published Story. Encore does not provide a comparable public attendee list for Events.
Crew-only Stories are visible only to the original Writer and authorised Crew members while the relevant access conditions are met. Saving a Story or adding it to a Collection does not bypass those access rules. Stories hidden by Crew moderation are limited to the original Writer and authorised Crew Owner until restored.
We do not sell your personal information. Information may be shared in the following limited circumstances:
Information is shared when you publish content or otherwise use public and collaborative features. Encore may also display canonical Artist and Event information and aggregate engagement information, including Story Read counts, Encore counts, and Event attendance counts.
Certain information is shared only with users who need it for a specific Encore feature. For example, the Writer of a published Story may view the profiles of signed-in members who gave that Story an Encore. Crew moderation reasons and notes are visible to the original Writer and authorised Crew Owner while the moderation state is active.
Private Library information, including Collection names and Collection contents, is not intended to be shared with other members. Detailed Event attendance history is likewise intended to remain private to the account holder, although aggregate attendance counts and a profile Events attended total may be publicly visible.
We may use trusted service providers for infrastructure, hosting, database services, authentication, email delivery, monitoring, security, and related technical operations. These providers may process information only as needed to provide their services to Encore.
We may disclose information when reasonably necessary to comply with applicable law, respond to a valid legal request, enforce our terms, investigate misuse, or protect the rights and safety of Encore, its users, or others.
If Encore is involved in a merger, acquisition, restructuring, financing, or transfer of assets, information may be transferred as part of that transaction, subject to applicable law.
Encore uses essential technologies required to provide core functions such as authentication, session management, preferences, and security.
Encore also uses a first-party anonymous reader identifier for signed-out Story Read measurement after the visitor has allowed that measurement. Its purpose is to recognise the same browser so that one reader does not increase the same Story's Read count more than once per day. The identifier is not used for advertising or cross-site tracking.
Where applicable law requires consent for non-essential audience measurement technologies, Encore provides an appropriate choice before using them. More detail, including information about the reader identifier and cookie controls, is provided in the Cookie Policy.
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including providing the platform, maintaining security, resolving disputes, and meeting legal obligations.
Retention periods may vary depending on the type of information, why it was collected, whether it remains necessary to provide the service, and whether applicable law requires it to be retained.
Private Library information may be retained while it is needed to provide your Library. Removing a bookmark, removing a Story from a Collection, deleting a Collection, or otherwise changing your Library may remove the corresponding active Library relationship, subject to normal backup, security, and logging retention.
Event attendance information may be retained while your attendance choice remains active. An attendance relationship can be removed through the available attendance control. Unpublishing or deleting a Story does not automatically remove attendance that was established when the Story was published.
Canonical Artist and Event records may be retained as part of Encore's shared archive independently of the account that first contributed or connected them. Where such records contain personal information, retention and requests concerning that information will be considered under applicable data protection law and the rights of others.
The first-party anonymous reader identifier used for signed-out Story Read deduplication may remain in the browser for up to six months unless it is deleted earlier.
When information is no longer required, we will take reasonable steps to delete or anonymise it. Some information may remain temporarily in secure backups or logs before it is removed through normal retention cycles.
We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, alteration, disclosure, loss, or destruction.
These measures may include access controls, authentication, encrypted connections, database security rules, monitoring, backups, and limitations on administrative access.
No method of storing or transmitting information online is completely secure. We cannot guarantee absolute security, but we will continue to review and improve our safeguards as Encore develops.
Some service providers may process information in countries outside Belgium or the European Economic Area.
Where applicable, we will use appropriate safeguards for international transfers, such as adequacy decisions, standard contractual clauses, or other transfer mechanisms recognised under data protection law.

These rights are not absolute. A request may be limited or refused where permitted by law, including where information must be retained to meet legal obligations, preserve legitimate shared records, or protect the rights of others.
We may need to verify your identity before completing a request. This helps prevent unauthorised access to or deletion of personal information.
You can temporarily deactivate your Encore account through your profile settings. Deactivation signs you out and prevents normal signed-in use of the account until you log in again. Logging in again reactivates the account.
Deactivation does not permanently delete your account or personal information. Your profile, Stories, Crew memberships, Library information, engagement activity, Event attendance, and other account data may remain stored while the account is deactivated. Published content may also remain visible according to its existing visibility settings.
If you own a Crew, you must transfer Crew ownership to another eligible Crew member before deactivating your account. This helps ensure that a Crew is not left without an active Owner.
If you want your account and associated personal information permanently deleted, contact the Encore team. Permanent deletion requests are reviewed separately from account deactivation.
Account-linked private data, such as Library information and Event attendance records, will be considered as part of an account deletion request together with other personal information associated with the account.
Draft Stories associated with the account may be permanently deleted as part of the deletion process. Published Stories and other material connected to shared platform activity may require additional review before they are removed, anonymised, or disassociated from the account.
Deleting an account may therefore not immediately remove every published record connected to shared platform activity. We may need to consider collaborative authorship, Crew records, canonical Artist and Event history, engagement and moderation records, the rights of other contributors, legal obligations, and the integrity of shared community history.
Where published content is retained after an account deletion request, we may remove the connection to the deleted account, anonymise identifying author information, remove associated personal media where appropriate, or take other reasonable steps to reduce the personal information that remains.
Shared Artist or Event records do not become owned by the account that first contributed them and may remain in Encore's archive after that account is deleted, subject to applicable data protection rights and legal requirements.
Some deleted or anonymised information may remain temporarily in secure backups, security records, or logs before it is removed through normal retention cycles.
Your Stories, Artist contributions, Event information, or other submissions may include information about friends, performers, Artists, Crew members, or other people.
You are responsible for ensuring that you have an appropriate reason and any necessary permission to publish personal information about another person.
Requests concerning personal information contained in user-generated content or shared Artist and Event records will be reviewed in context, taking account of privacy, freedom of expression, historical documentation, the integrity of the shared archive, and other applicable rights.
Encore is not intended for children who are not legally able to consent to the processing of their personal information under the laws that apply to them.
If we learn that personal information was collected from a child without the consent or authorisation required by law, we will take appropriate steps to investigate and delete it.
Encore may contain links to websites or services operated by other organisations. Their privacy practices are governed by their own policies, not this Privacy Policy.
Review the privacy information provided by external services before submitting personal information to them.
We may update this Privacy Policy as Encore develops, our data practices change, or legal requirements evolve.
The latest version will be published on this page and the last updated date will be revised. Where appropriate, we may also provide additional notice of material changes.
